For new Reps, placing that first order can feel daunting. I know that’s how it felt for me when I placed mine. For the Sales Leaders, it can be difficult to explain the process to your Reps, especially if you can’t be there to walk them through it. As I build my team up, I’m seeing the benefits of putting together as much information as possible. If you’re a Sales Leader, feel free to share this post with your new reps.
So, login to your Representative Website and let’s get an order placed.
Step 1 is rather simple, but if your mind is in a whirl, I’ve circled where to click to get started.
Step 2, again not much to see here, but I’m going step by step. When you go to place an order, this should be the next screen that you’ll see. These are the Ordering Rules which remind you about ordering charges. Have a read and then click Continue.
Step 3 will ask you to select the campaign you are placing your order for, with the current campaign selected by default. I leave everything as is unless I’m specifically going to be placing an order for the previous campaign (To do this in this example shown, I would select C12 rather than C13).
Select Customer by default should show your name – not ‘Your Name’, but YOUR name. I’ve edited out the name in this tutorial for privacy issues.
Just select Start My Order to get started.
Step 4 will show you your order form. There are four things to pay attention to here; Campaign Number, Product Number, Quantity and Description.
I Double check that the correct campaign number is shown before I begin. Now, when I enter the product number, I will check to see if the description listed online matches what I see on the order form. I’ve had a few orders where customers have written down the wrong order number or description, so we need to look out for this here.
Odds are that as we go along, eventually we are going to see this mojo meddler below.
And cue mini melt-down – “UH OH! What’s going on here? Why me? Why does everything always go wrong for me? The universe hates me!!”
Ok, calm down fellow drama queens. Most of the time when we see the red error message above, it’s because the wrong campaign number is selected. If we look below, we can see where to change the campaign number.
And below the campaign number has been changed and the product description is now listed. We’re back on track!
**Important – Do not forget to order your First Order Freebie – Favourites Pack – worth over £70 using Product Number 67363 ** Remember though, that in order to get this absolutely free, you must meet your minimum HOV of £160. If you reach the MOV OF £87, you will only have pay £15 for the pack.
Once we are finished inputting our orders, we want to click on Save Order. When the order is not yet due, we can stop here. Our inputted orders will be saved in the system until it’s time to submit them to AVON.
Personally, I prefer to input my orders as they come in and save them as I go. I put prefer in italics because they don’t call me “Last Minute Christina” for nothing. Save yourself the stress, input and save your orders as soon as you have time. You will find that doing it all in a rush to meet your deadline is not fun at all, unless of course you live for drama. Also, I find it best when I have to enter several orders at a time, to input and save each order one by one, i.e., pick up an order form, input, save and then pick up the next order form. It’s a nightmare when you’ve been sat forever entering order after order only for the universe to conspire against you and make you lose everything. I’ve lost loads of time here by accidentally selecting Delete All – many tears were shed, not really, but nearly.
Let’s assume we are ready to submit our order to AVON.
Below the order input area we see the Brochure Order area. This is a quick way to order the brochures that we want. Brochures come in packs of five. Here I’ve selected 4 packs of C14 (circled in pink), so 4 packs is 20 brochures. The section I’ve circled is the next campaign we need brochures for. We can also order two campaigns ahead if needed, as you can see below.
Update your order.
If you look at the image below, you’ll see a menu which is currently showing Sales Tools highlighted. Since we have already saved some orders, go ahead and click on Sales Tools. There are three categories within Sales Tools; Samples, Sales Aids and Stationery.
In the image below, we are already in the Samples section. Here, we are able to order various samples of different types of products. We can also view and order samples from the First Look brochure. It’s always great to have some samples on hand. In the case of a potential customer who is unsure, ordering them samples of some products they might be interested in could be the way to swing the deal.
Within Sales Aids, we are able to order supplementary items that help improve sales and overall business.
One of my favourites out of this category is the Beauty for a Purpose Loyalty Cards. I give one with a customer’s first order, offering them 10% off after so many orders with a minimum spend of £10. You can do your own offer and set your own discount or even offer a free gift if they complete the loyalty card. It’s completely up to you. Ring sizers are another thing that can come in handy as customers don’t always know what size they need.
The last category, Stationery, is where I order the most from. This is where we order Customer Order Forms, Bags for our orders, Calling Cards, etc.
Calling Cards are a must for me and you can read more about why here – Rep Essentials: Pack Your Bags!
We select the quantity of any Sales Tools we’d like, click Add To Order and then select Continue.
We are now taken to Order Demos where we get a look at the current First Look brochure. The First Look brochures have some great demo prices and Rep deals – always worth a look.
Personally, I skip the online brochure as it freaks out on my laptop. I’m a bit old fashioned anyway and prefer to look in the proper brochure, but feel free to try the online brochure as it’s pretty easy to add extras to your order.
The next page will take us to Your Offers. This is where we double check if we are making our MOV/HOV. In the image below, we haven’t and we wouldn’t be submitting this order. It’s telling us that we need to sell just £70.96 more to qualify for the discount of 20% for the MOV of £87. To achieve our HOV and qualify for the 25% discount, we’d need an order total of £160.
Remember that any brochures and Sales Tools ordered will count towards reaching the MOV/HOV. If you are still falling short of the required amounts, you might want to consider ordering additional products and/or a Bargain Bag/Box to meet your quota. It’s great to have extra products to use in Flash Sales, car boots or giveaways. If you find that you don’t sell these items, you can always return them. Important note about the Bargain Bags/Boxes – you can only get a refund if every item is returned – you can’t sell some and return the rest.
We are now shown our Order Summary. The Order Checklist at the top of the image below is helpful as it can be a reminder that we have’t ordered something important, like brochures. There’s a green check-mark next brochures though, so we’re good! The red Xs are showing that we’ve not ordered any demos. It also shows that we haven’t processed any credits or replacements. As this is a first order tutorial, we don’t need to worry about that yet.
We can Expand All to view the current order, but if we make any changes we need to remember to select Update Order.
We also need to make sure our Delivery Information is correct and up to date.
We need to enter the number of customers who have placed an order for this campaign, make sure the email listed is correct and then select View Subtotal.
We’re nearly done!
This is where will get a final chance to check that we’ve ordered everything we need and included the Freebie Code (if we have met our targets). We can also see what our earnings should be on this page as well. Because this is a sample order for this tutorial which falls way below the MOV, we’re earning diddly squat and getting no freebies!
Finally we submit our order to AVON and make ourselves a cuppa – we’ve earned it 😉
